AI Readiness & Workflow Implementation

Using ChatGPT isn't
an AI strategy.

Most small and medium businesses think they're covered because a few people have AI open in a browser tab. That's personal productivity, not business capability. Kozmic finds out how AI-ready your business actually is — then builds the workflows that make it more efficient and more profitable.

Readiness score, no fluff

There's a difference between
using AI and being AI-enabled.

One depends on a person remembering to open a tab. The other runs whether anyone remembers or not. Almost every business owner we talk to believes they're doing the second, and is actually doing the first.

Business Just Using AI

A tool somebody opens when they get stuck

  • Someone pastes a question into ChatGPT and rewrites the answer
  • The AI knows nothing about your pricing, your jobs, or your customers
  • Every useful result depends on one person's habit and phrasing
  • Nothing is measured, so nobody knows what it's worth
  • Stops the moment that person is busy, on vacation, or gone
  • Sensitive information may already be going somewhere it shouldn't
Business Being AI-Enabled

A system that does the work without being asked

  • Workflows run on their own — nights, weekends, whether anyone remembers
  • AI works from your data: your pricing, your history, your documents
  • The fiftieth inquiry gets handled exactly like the first
  • Time and cost saved are tracked, so you know what's paying
  • The capability belongs to the business, not to one employee
  • Clear rules on what AI touches and who reviews the output

This isn't about buying more AI tools. It's about whether your business has the data, systems, and processes underneath for AI to stand on. Get that wrong and you buy a demo. Get it right and you get hours back every week — permanently.

Get ready. Then get to work.

We don't sell you software and wish you luck. We figure out where your business actually stands, build what makes sense for how you already operate, and stay on to keep it running.

AI Readiness Assessment

Before anything gets built, we establish where you actually are. Six dimensions, scored honestly, so decisions get made on evidence instead of vibes.

  • Scored audit across data, systems, process, AI use, people, and risk
  • Your weakest links identified and explained in plain English
  • Discovery call to pressure-test the findings against reality
  • A clear read on what's worth doing and what isn't — yet
⚙️

AI-Enabled Workflow Design & Build

The actual work: designing and implementing workflows that remove repetitive labor from your week and connect the tools you already pay for.

  • Workflows mapped to how your business really runs, not a template
  • Your existing tools connected so data stops getting retyped
  • AI grounded in your own pricing, documents, and job history
  • Built in stages, so you see value before the whole thing is done
  • Human review built in wherever it touches a customer
🔭

Ongoing Optimization & Support

Automations break, businesses change, and models improve. We stay on to keep what we built working and to find the next thing worth automating.

  • Monitoring so failures get caught before customers notice
  • Team training so people actually use what was built
  • Regular tuning as your business and the tools evolve
  • Reporting on time and cost recovered
  • A next workflow queued up when you're ready for it

The work AI should be doing
in a business your size.

Not science projects. The unglamorous, repetitive work that quietly eats a workweek and never makes it onto anyone's to-do list.

📊 Reporting & Visibility

  • Your numbers, current, without spreadsheet nights
  • Plain-English answers to questions about your own data
  • Alerts when something is trending the wrong way
  • Weekly summaries that land in your inbox

🔗 Back Office & Data

  • Tools connected so information stops being retyped
  • Records cleaned, deduplicated, and kept that way
  • Scheduling and dispatch that don't need babysitting
  • Supplier and order admin handled in the background

🧠 Knowledge & Onboarding

  • What's in people's heads captured where it's searchable
  • New hires productive without shadowing for a month
  • Your best practices available to everyone, instantly

Evidence first. Then a plan.
Then the build.

No twelve-week discovery phase, no strategy deck you'll never read. Four steps, and you can stop after the second one having learned something useful.

Discovery call

We go through your results together and have a real conversation about how your business runs. You'll leave with a clearer picture whether or not we work together.

03

Custom proposal

We map specific workflows for your business — what gets built, in what order, what it touches, and what it's worth. If the math doesn't work, we'll say so.

04

Build & maintain

We implement in stages so you see value early, train your team so it sticks, and stay on to keep everything running as your business changes.

How AI-ready is your business,
really?

The AI Readiness Audit

Seven questions about how your business actually operates — where your information lives, how often someone retypes what another system already knows, how much of the week goes to repetitive work, and what your team really does with AI. You get a score out of 100, a breakdown across six dimensions, your three biggest gaps explained, and any risks worth handling early.

Built for businesses without
an IT department.

Kozmic exists because the AI conversation skipped over small and medium businesses entirely. The enterprise gets consultants and budgets. Everyone else gets a free chatbot and a shrug.

Plain English, real numbers, no hype.

We work with owners who run real operations — trades, clinics, professional practices, contractors, local businesses with real customers and thin margins. People who don't have time to evaluate a hundred AI tools and shouldn't have to.

Our approach is deliberately unglamorous. We measure where you stand before recommending anything. We build on the systems you already pay for rather than replacing them. And we're honest when the answer is "not yet" — because selling you automation on top of a broken process helps nobody.

📐

Evidence before opinions

Every engagement starts with a score, not a sales pitch. If the audit says you're not ready, we fix the foundation first.

🔧

Your tools, connected

We'd rather make what you already own work together than sell you a migration you didn't ask for.

🤝

People stay in the loop

AI handles the repetitive part. Your team keeps the judgment calls and the customer relationships.

Plan built specifically for your business

The things owners actually ask.

That's the most common starting point, and it's worth being clear about what it gets you. A person using ChatGPT is faster at their own tasks — that's real, but it's personal productivity. It stops when they're busy, it produces generic output because the tool knows nothing about your business, and none of it compounds. Being AI-enabled means workflows that run without anyone remembering, grounded in your own data, that keep working when someone's on vacation. The audit is designed specifically to show you the difference in your own numbers.

It's a fair concern, and honestly the risk usually already exists before we show up — most businesses have staff pasting customer details and pricing into free public tools with no policy in place. Part of what we do is establish what AI can touch, which tools are approved, who reviews output before it reaches a customer, and what the fallback is when something goes wrong. The audit flags where you're currently exposed.

Almost never, and we'd push back if someone suggested it. Most small businesses are already paying for tools that do more than they use. The bigger problem is usually that those tools don't talk to each other, so a person ends up being the bridge — exporting, retyping, reconciling. Connecting what you own is faster, cheaper, and less disruptive than a migration.

That's not what this is for, and in businesses your size it's rarely what owners want anyway. The target is the repetitive work nobody enjoys and nobody's good at after hour six — retyping, chasing, scheduling, summarizing. Your people keep the judgment calls, the relationships, and the work that actually needs a human. Most of our clients are trying to grow without adding headcount, not shrink.

Then you've learned something genuinely valuable for free, and we'll tell you plainly. Sometimes the honest answer is that the foundation needs work before any AI is worth building — getting information out of people's heads, cleaning up records, defining a process that currently runs differently depending on who's handling it. That groundwork is usually less painful than owners expect, and skipping it is why most AI projects quietly fail.

We build in stages specifically so you're not waiting months to see whether this was a good idea. The first workflow is usually something narrow and high-frequency where the improvement is obvious. We'd rather prove the approach on something small than disappear for a quarter and come back with a big reveal.

There's a one-time build for designing and implementing your workflows, then ongoing support to keep everything running, train your team, and tune things as your business changes. What that looks like depends entirely on what the audit and discovery call turn up — we'd rather scope it against your actual situation than quote a number at a stranger. It's a straightforward conversation on the call.

Find out where you
actually stand.

Take the audit first — it makes the conversation ten times more useful. Or if you'd rather just talk it through, book a call and we'll start there.
